We use your Personal Information as part of the process of booking walks. By using the Site, you agree to the collection and use of information in accordance with this policy.

While making your bookings, we ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information (“Personal Information”). may include, but is not limited to:

- your email address
- your address
- any phone number you may supply
We will not use this information for any purpose other than the administration of your booking and of the festival; it will not be shared with any other organisation or body without your consent.
Order payments are processed by Paypal – so there is none of your financial data recorded on our web site. Please visit the Paypal site for their privacy policy.
We comply with the Data Protection Act 2018 and the Privacy and Electronic Communications Regulation 2003 and the Data Use and Access Act 2025.
Customer Accounts
You may, if you wish, create an account on the system to save you having to re-enter the information every time you buy a walk. You log onto your account using a username and password. The information stored against the account is the same as you enter for an order. There is also a list of the orders you have placed and a list of any requests you have submitted to be placed on a waiting list for a walk.
This information is retained on the system unless we are asked to remove it.
Use of Cookies
This website is powered by WordPress. Any cookies that are used only to ensure proper running. They are not used for tracking purposes, just to hold site information for the duration of your browsing session.
We use Google Analytics to provide statistics on website traffic – see below for the Google explanation.
We do not use 3rd Party / Tracking / Advertising cookies.

Communications
We may use your Personal Information to contact you with emails about the Festival and walks you may have booked. We will not pass your Personal Information onto any third parties or use your data for any purpose other than to contact you in relation to walks you have booked and about future Festival dates.
If you sign up to receiving our newsletters – then your email address will be shared with Mail Chimp.
If you are a Walk Leader – your email details are kept on the web site and held by the Chair of the Festival and only used to communicate with you about any walks you are leading.
Security
The security of your Personal Information is important to us but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security. Your Personal Information is stored on our web site, shared with certain committee members to allow the walks to be processed for the actual Festival and for Walk Leaders to be sent your details when you have booked one of their walks. Committee members and walk leaders are instructed to destroy this information once the festival is finished each year.
Data Retention
Orders for walks are deleted from the web site every year at the end of the festival. Your Personal Information is stored on our web site unless we are asked to remove it. This enables regular users of our site to re-book easily at each Festival without having to re-input all of their data. This Personal Information is only kept to facilitate the use of the web site by attendees during the festival.
If at any time you wish to know what information we have of yours – please contact us and we will let you know.
If at any time you wish us to remove all of your personal information from our system – then please contact us and we will do so immediately.
Complaints
If you have a complaint about how your personal data is being used – please email us at: secretary@malvernwalking.uk.
We will respond within 30 days with the aim of resolving the complaint which will be processed by the Committee members.
Changes to this Privacy Policy
This Privacy Policy is effective as from July 2026 and will remain in effect except with respect to any changes in its provisions in the future, which come into effect immediately after being posted on this page.
We reserve the right to update or change our Privacy Policy at any time, and you should check this Privacy Policy periodically.
